Administrative Assistant

About Independent Institute:

The Independent Institute is seeking an Administrative Assistant who will be responsible for providing administrative support to the Institute’s President, Executive Director, and Development department, and who will maintain an office environment that assures the seamless flow of communications and work. The Assistant identifies and employs best-in-class office procedures, processes and techniques, and is committed to excellence, continuous improvement and teamwork and to applying exceptional standards of communication, thus establishing the tone for the entire operation.

Primary responsibilities

  • Providing assistance to the President with correspondence, meetings, and other activities and appointments
  • Providing meeting support, including travel arrangements
  • Providing assistance to the Executive Director as needed
  • Providing back-up assistance to the Development department in donor communications and support
  • Overseeing the opening and closing of the offices daily
  • Reviewing incoming mail, e-mails, and package deliveries, distributing across the organization appropriately
  • Answering and routing incoming calls as the professional voice of the organization (with assistance)
  • Maintaining central filing
  • Overseeing the maintenance and supplies for all office equipment
  • Maintaining office supplies
  • Assisting with conferences and events, including fundraising benefit events

Qualifications:

  • 5-8 years of experience, preferably including non-profit
  • Mastery of MS Word and Excel skills
  • Experience using CRM databases.
  • In-depth understanding of business operations best practices
  • Must be a self-starter who can work independently, with excellent communication skills
